The Redline Rule governs the quality of Spotted Pony PR’s work. Confidentiality and privacy govern everything else.
The SPOTTED Brand Trust System (SPOTTED) Guided Diagnostic is governed by a written agreement between Spotted Pony PR and the client, which covers confidentiality and how information shared during the engagement is handled. Spotted Pony PR is a one-person firm. During a Guided Diagnostic, I am the only person who sees your diagnostic material.
SPOTTED for in-house use and agencies, will be governed by the posted terms and conditions at launch.
The AI research and analysis in SPOTTED runs on Claude, developed by Anthropic. I chose it for the same reason I chose to build SPOTTED the way I did. It reasons carefully, acknowledges what it doesn't know, and works best when a human with real judgment is in the loop.
The diagnostic uses the Claude API for AI research and analysis only. No other AI provider receives diagnostic content. Data passed through the API for diagnostic purposes is automatically deleted within 30 days and is never used to train Anthropic's AI models. This reflects Anthropic's standard commercial API terms. Spotted Pony PR does not have a separate or special data-retention agreement with Anthropic.
SPOTTED also includes an AI Visibility Check, which asks ChatGPT (OpenAI), Gemini (Google), and Perplexity directly how each one currently describes an organization. What is sent to them is a short set of questions built from the organization's name and industry type, written the way someone asking about you would type them. The question set is visible to the client and can be edited, and whatever it says is what is sent. No findings, intake, notes, scores, or measurements ever reach those three providers. The deletion and no-training assurance above is specific to Anthropic and does not automatically extend to them; each governs that query under its own published policy.
Client records, diagnostic results, scores, reports, stored sources, and any measurement indicators are held in the SPOTTED platform database, which runs on Supabase (managed PostgreSQL), with the application hosted on Render. Data is stored in the United States. Our records are never stored on Anthropic's servers or on those of any other AI provider. This information is used solely for re-evaluation, progress tracking, and client purposes.
Individual records can be deleted on request, and the account can be deleted in full. Deletion is immediate and permanent on the live platform. Because backups exist for disaster recovery, a deleted record may persist in a backup snapshot for a limited period before it ages out.
No non-public facing information is entered into the SPOTTED Brand Trust System unless the client has provided it directly. Some clients choose to share internal indicators — referral rates, proposal close rates, conversion data — to strengthen measurement tracking within the system. This information is provided voluntarily and used solely to track progress against trust gaps identified in the diagnostic. By default it stays in the database, seen only by that client's own account. It is never entered into the AI research or analysis automatically, never shared with third parties, and can be removed at any time upon request. There is one deliberate exception, and it only happens when a person triggers it. A human in the loop can ask AI to look for a correlation between brand-trust movement and business outcomes, and that request includes the measurements selected for it. It is never automatic, and every result is framed as a correlation, never as a cause.
The free Brand Trust Assessment is entirely for your own knowledge. No responses, scores, or personal information are stored, tracked, or sent to Spotted Pony PR. Nothing you enter there leaves your browser.
All other consulting services outside the scope of SPOTTED are governed by a contractor agreement between the parties.
All client work is strictly confidential. No client information is ever shared with third parties unless agreed upon with the client.
